Refund & Cancellation Policy

Review our terms governing advance payments, client-initiated cancellations, and refund processing.
This Refund and Cancellation Policy applies to payments made to Pivora Experiential Communications Private Limited (“Pivora”, “we”, “us”, or “our”) through our website https://www.pivoraexperience.com/ or other payment methods we make available. It should be read together with the proposal, statement of work, or service agreement agreed for your engagement (the “Engagement Terms”). Where the Engagement Terms specify different commercial conditions, those signed terms will prevail.

1. Nature of our services

Pivora provides bespoke, business-to-business experiential and event marketing services. Each engagement is custom-scoped and requires us to commit time, resources, and, in most cases, costs to third parties such as venues, production and audio-visual partners, talent, food and beverage suppliers, and other vendors, often well in advance of the event date. This policy reflects that reality.

2. Advance payments

Advance payments are taken to secure our resources and to fund costs we commit to third parties on your behalf. Where an engagement is cancelled, any portion of an advance that corresponds to costs already committed to or incurred with third parties, or to work already performed by us, is non-refundable. Any remaining portion of the advance that has not yet been committed or earned will be refunded to you, subject to the cancellation terms in Section 3.

3. Cancellation by the client

Cancellation charges are calculated against the total contracted fee for the engagement. In every case, costs already committed to or incurred with third parties on your behalf (venue, flights, logistics, artist or celebrity, licences and permissions, and similar) are payable in full on actuals, regardless of when you cancel.
  • 15 or more days before the event or delivery date: no charge on our professional fee. Only committed third-party costs are payable.
  • 10 to 14 days before: 50% of the contracted fee, plus committed third-party costs.
  • Fewer than 10 days before, or on or after the event or delivery date: 100% of the contracted fee, plus committed third-party costs.

4. Cancellation or postponement by force majeure

If an engagement cannot proceed due to an event beyond either party’s reasonable control, the parties will work in good faith to reschedule. Costs already committed to third parties remain payable. Any rescheduling is subject to vendor availability and may incur additional costs.

5. Changes and rescheduling

Requests to change scope, date, or deliverables after confirmation are handled through the Engagement Terms and may affect fees and timelines. We will confirm any cost impact in writing before proceeding.

6. Services already delivered

No refund is due for services that have already been delivered or for milestones that have already been completed and accepted.

7. How to request a cancellation or refund

To request a cancellation or refund, write to us at the email address below, quoting your invoice or engagement reference. We will acknowledge your request and confirm the applicable amounts in writing.

8. Refund processing

Where a refund is due, we will process it to the original payment method within 7 business days of confirming the amount. The time taken for the refund to reflect in your account depends on your bank or payment provider and is outside our control.
